Learn about different inventory statuses and when to use them
Status Overview
Watch statuses help you track the current state of each piece in your inventory. Each status serves a specific purpose in your business workflow and affects how the watch appears in analytics and reports.
Status Categories
Active Statuses:
Watches currently in your possession
Transit Statuses:
Watches moving in or out
Service Statuses:
Watches being worked on
Final Status:
Sold watches (permanent)
Active Statuses
The watch is available for sale and actively marketed.
Watch is ready to sell
All servicing is complete
Photos and listing are prepared
Price is set and competitive
Reserved for a specific customer or temporarily unavailable.
Customer is considering purchase
Payment is being processed
Watch is reserved for VIP client
Temporarily removing from market
Not actively marketed but still in your possession.
Watch needs better photos
Researching market value
Considering keeping for collection
Waiting for better market conditions
Transit Statuses
Watch is coming into your possession but not yet received.
Purchase agreed but not delivered
Watch is being shipped to you
Consignment is being delivered
Return from service/polish
Watch is leaving your possession but sale not yet finalized.
Watch shipped to buyer
Awaiting payment confirmation
Customer inspection period
Delivery in progress
Service Status
In Service / Polish
Watch is currently being serviced, polished, or repaired.
Watch is at the watchmaker
Being polished or cleaned
Undergoing repairs
Movement service in progress
Track service costs in the "Polish/Service Cost" field to maintain accurate profit calculations.
Final Status
The watch has been sold and the transaction is complete.
Automatically set when:
You use "Mark as Sold" feature
Sale price and buyer are recorded
Transaction is finalized
What happens:
Watch moves to "Sold" inventory tab
Profit calculations are finalized
Aftercare events are generated
Analytics are updated
Managing Status Changes
You can change watch statuses at any time to reflect the current state of your inventory:
How to Change Status
Go to the Inventory page
Find the watch you want to update
Click the "Edit" button
Select the new status from dropdown
Save your changes
Status Change Tracking
All status changes are logged
View history in the Logs section
Timestamps are automatically recorded
Analytics update in real-time
Best Practices
Keep Statuses Current
Update status immediately when circumstances change
Use "On Hold" when a customer is seriously considering
Move to "Outbound" when shipping to buyer
Only use "Sold" when payment is confirmed
Status-Specific Notes
Add notes explaining why status was changed
Include customer names for "On Hold" items
Record service details for "In Service" watches
Note shipping details for "Outbound" items
