Xero Integration
Connect HoroClick with your Xero accounting system
The Xero integration allows you to automatically create invoices in Xero when you mark watches as sold in HoroClick. This eliminates manual data entry and ensures your accounting records stay synchronized with your inventory.
Enterprise Feature
Xero integration is available on the Enterprise plan. Only enterprise administrators can configure the integration.
Active Xero Account
You need an active Xero subscription with the appropriate permissions

Connecting Your Xero Account
Access Integration Settings
Enterprise → Settings → Integrations
and locate the Xero section.
Click "Connect to Xero"
Click the "Connect to Xero" button. You'll be redirected to Xero's authorization page.
Authorize HoroClick
Log in to your Xero account and authorize HoroClick to access your organization. Select the organization you want to connect.
Confirm Connection
You'll be redirected back to HoroClick. The integration status will show "Connected" with your organization name.
Configuring Base Watch Model
HoroClick uses a "base watch model" in Xero as a template for creating new watch invoices. This product doesn't need to match your actual watches being sold - it's just a template.
How to Find Your Xero Product ID:
In Xero, navigate to
Sales → Products and Services
is selected (uncheck
Create the item with a name like "Watch Sale Template"
After creation, view the item page and look at the URL
The URL will look like this:
The highlighted UUID at the end is your Product ID
Once you have the Product ID, paste it into the "Xero Product ID" field in HoroClick and click "Save Base Model".
Creating Invoice Templates
Invoice templates allow you to customize how watch information appears in Xero invoices. You can create multiple templates for different scenarios.
Template Components:
Template Name
A descriptive name for the template (e.g., "Standard Watch Sale", "Vintage Watch Sale")
The invoice line item description that will appear in Xero. Use variables to insert watch details dynamically.
Available variables: brand, model, referenceNumber, serialNumber, condition, caseMaterial, dialColor, and more
Account Code
The Xero account code for the revenue account (e.g., "200" for Sales). Maximum 10 characters.
Choose between "GST on Income" or "GST Free Income" depending on your tax requirements.
Creating a Template:
Click "Manage Templates" in the Xero integration settings
Click "Create Template"
Fill in the template name and account code
Create your description using the variable buttons to insert watch fields
Select the appropriate tax rate
Click "Save Template"
Default Invoice Settings
Configure default checkbox states when marking watches as sold. This saves time by pre-selecting your preferred options.
Generate Xero Invoice by Default
When enabled, the "Generate Xero Invoice" checkbox will be checked by default when marking watches as sold.
Send Invoice to Client by Default
When enabled, invoices will be automatically emailed to the customer via Xero. Ensure the customer has a valid email address.
Default Invoice Template
Select a template to automatically use when marking watches as sold. You can still change it on a per-sale basis.
Using the Integration
Once configured, the Xero integration works automatically when you mark watches as sold.
Marking a Watch as Sold:
Navigate to Inventory and select a watch
Click "Mark as Sold"
Fill in the sale details (price, customer, date, etc.)
The "Generate Xero Invoice" checkbox will appear (with your default setting)
Select the template to use (your default will be pre-selected)
Optionally check "Send Invoice to Client" to email the invoice via Xero
Invoice Created Successfully
The invoice will be created in Xero with the watch details, sale price, and customer information. You'll see a notification confirming the invoice creation.
Connection Expired
Xero connections need to be refreshed periodically. If you see an error about an expired connection, disconnect and reconnect to Xero.
Invalid Product ID
Ensure you've entered the correct Xero Product ID (UUID format). Check that the product exists in your Xero organization and is set up for sales (not purchases).
Customer Email Required
If you want to send invoices to clients via Xero, ensure the customer contact has a valid email address in HoroClick.
Invoice Not Created
Check that your Xero account has the necessary permissions and that the account code exists in your chart of accounts.
Security & Privacy
HoroClick uses Xero's official OAuth 2.0 authentication protocol to securely connect to your accounting system.
Your Xero credentials are never stored by HoroClick
Access tokens are encrypted and securely stored
You can disconnect at any time from the integration settings
Only enterprise administrators can access Xero integration settings
